FieldPe — field-staff management for facility & security agencies

This Privacy Policy explains how FieldPe ("we", "us", the "app") collects, uses, shares, and protects information when you use our mobile application and website. FieldPe is a business tool used by agencies to manage their deployed workforce — including attendance, GPS tracking, client billing, payroll, and staff records.

About the roles in FieldPe. The app is used by agencies/employers (who own a company account) and by their staff/field officers (who are added to a company account). When you are added as an employee, your employer (the account owner) acts as the controller of your work records, and FieldPe processes that data on their behalf.

Information We Collect

We collect the following categories of data to provide the service. All data is transmitted over encrypted (HTTPS/TLS) connections.

We do not collect: health/fitness data, your device contacts, your calendar, your web-browsing history, audio recordings, or SMS/messages. We do not use your data for advertising, and FieldPe does not show third-party ads.

How We Use Information

To provide core app functionality (attendance, GPS tracking, billing, payroll, staff management).
To create and manage your account and authenticate sign-in.
To let an employer view and manage their own workforce data.
To send operational notifications relevant to your role.

Location Data

For users acting as field officers, FieldPe collects precise location — including in the background, when the app is closed or not in use — so the employing agency can see live position, verify site visits, and record routes during working time. Before any location is collected, the app shows a clear disclosure and asks for your explicit consent, and you may decline. You can change or revoke location permission at any time in your device Settings. Location is used only for attendance, visit verification, and route tracking.

How We Share Information

We share data only as needed to run the service:

With your employer/agency. If you are a staff member, your work data (location, attendance, photos, records, payroll) is visible to the company account that added you, for legitimate workforce-management purposes.
With service providers. We use Google Firebase (Authentication, Firestore database, Cloud Messaging) to operate the app. Data is processed on Google's secure infrastructure under Google's terms.
For legal reasons. Where required by law, regulation, or valid legal process.

We do not sell your personal data, and we do not share it with advertisers.

Data Security

All data is encrypted in transit using HTTPS/TLS. Data is stored on Google Firebase's secure infrastructure with access controls. While no system is perfectly secure, we take reasonable measures to protect your information.

Data Retention

We keep personal data for as long as your account is active or as needed to provide the service. Certain business records — such as payroll, wage, invoicing, and statutory records — may be retained by the employing agency for the period required by applicable tax, labour, and accounting laws. Residual copies in secure backups are purged on our normal backup rotation, within 90 days.

Deleting Your Account & Data

You may request deletion of your account and associated data, or deletion of specific data while keeping your account. Full instructions and what is deleted vs. retained are on our Account & Data Deletion page. In short: email support@ledgerbook.app from your registered email with the subject Delete my account (or Delete my data), and we will verify and process the request within 30 days.

Children

FieldPe is a workplace tool intended for adults (employees and agency staff). It is not directed to children and we do not knowingly collect data from anyone under the age required for employment in their jurisdiction.

Changes to This Policy

We may update this policy from time to time. Material changes will be reflected by updating the "Last updated" date above.
